How a Website Turns a Stylist’s Open Slot into a Confirmed Booking

When someone wants to book a hairstyle, they usually do not want to go through a long exchange of messages. They need to discuss the look, available dates, time, price, and location. For the client, this means several messages. For the stylist, it becomes another conversation that can easily get lost among other enquiries.

For «Your Hair Time», I built the website around a clearer booking flow. The client chooses a look and an available time, enters their details, and the stylist receives the request in a convenient format.

Clients can see the options right away

Before booking, clients want to understand what the final look might be. The first screen therefore presents the available hairstyles with photos, short descriptions, and pricing.

The client can decide what suits them before starting a conversation. The stylist no longer has to send photos and explain every service separately in private messages.

Available slots are visible in the calendar

After choosing a look, the client opens the calendar and sees the available dates. They can then select a suitable time slot.

Booked and blocked intervals cannot be selected. Past times are removed automatically, while available dates remain visible within the current booking period.

This makes schedule management easier for the stylist. There is less need to check the calendar manually or answer the same questions about available hours. The client sees the current information and can choose a suitable option without waiting for a reply.

Booking takes only a few steps

The flow is divided into clear stages. The client chooses a hairstyle, selects a date and time, and then enters their name and phone number.

Before submitting the request, the website shows a summary of the booking. The client can review the selected look, date, time, and price.

If required details are missing or the selected slot has already been taken, the form explains the issue immediately. This helps prevent incomplete requests and accidental booking errors.

New enquiries arrive in Telegram

Once the request is submitted, the details are saved and the selected slot becomes unavailable to other clients.

The stylist receives a Telegram notification with the client’s name, phone number, selected hairstyle, date, time, price, and booking ID.

There is no need to keep checking the website or copy details from a chat into a calendar. A new booking appears in the workspace the stylist already uses for daily tasks.

This flow also reduces the risk of double bookings. The system marks the slot as occupied as soon as the request is created.

All bookings stay in the admin panel

Telegram makes it easy to notice a new enquiry, while the admin panel stores the complete booking details.

The stylist can open a booking, review the client’s information, and check the selected service, date, time, and price. The booking status can be changed to confirmed, cancelled, completed, or marked as a no-show.

Cancellation details and a stylist’s note can be added to the booking. If a visit needs to be rescheduled, the date and time can be changed in the admin panel, and the available slots update automatically.

The schedule stays under control, and booking information does not disappear inside private messages.

The stylist keeps the final confirmation

After submitting the request, the client sees the booking details and receives information about the confirmation process.

The stylist calls the client a day before the appointment to confirm the plans, clarify any details, and send a reminder. If the client does not answer, the booking can be released and the time becomes available again.

The website handles service selection, date selection, and slot selection. The stylist keeps the personal connection and controls the final confirmation.

AI helped simplify development

During the project, I used AI as an additional working tool. It helped me explore text and structure options faster, review ideas, and move through some routine stages more efficiently.

This made it possible to move from the initial concept to a complete booking flow faster. I made the key decisions myself, including the page logic, the order of the customer journey, and the information that should reach the stylist.

AI reduced the time spent reviewing options and making iterations. That left more room to focus on the user experience and the details of the service itself.

What the stylist gets

The stylist gets one consistent way to handle bookings. Clients can view the available hairstyles, understand the price, choose an open slot, and provide only the details required for the appointment.

This reduces repeated questions and frees up time otherwise spent on constant messaging. Clients can make a decision more easily, while the stylist gets better control over the schedule, new enquiries, and cancellations.

If you take clients by appointment, a website can handle many of the repetitive steps for you. I can design a similar flow around your business, understand your services, schedule, and customer habits, and turn them into a clear path from the first visit to a completed enquiry.

Send me a message and tell me about your project. We can discuss how to simplify booking, reduce unnecessary messaging, and make the website a useful tool for your daily work.
